You may nominate yourself or another individual. An individual can only accept and run for ONE executive position. Successful nomination requires the collection of no less than 5 nominators for executive positions.

The final day for submitting nominations is Wednesday, June 1st. No exceptions will be made for this deadline. Online voting will begin on May 18th and end on June 1st.
Executive Officers
The Chair is the executive officer of this branch and is responsible for fulfilling the mission of this branch and the overall management of branch affairs. The branch Chair shall preside at all meetings of the branch, appoints all committees, has general supervision of the operation of this branch, and hold signing authority. The branch Chair shall be an ex officio member of all committees of this branch except the branch nominating committee. Duties shall include the following:
- Assist the Secretary in preparing monthly reports required by the IEEE Vancouver Section.
- Arrange for the elections in April.
- Appoint branch nominating committee.
- Order Student Membership Development Kits from http://ieee-md-kit.org/.
- Report the Officer Reporting when a new Chair or Counselor is elected to IEEE headquarters and IEEE Vancouver Section.
- Report the Annual Activities Report to IEEE headquarters (due no later than 1 November). As mentioned in section 9.1.1.
- Act as a liaison to the BCIT Student Association.
- Communicate with other executives to sure the completion of goals.
- In conjunction with the Treasurer, plan and organize fundraising opportunities.
- Co-sign cheques drawn on all branch bank accounts.
- Maintain a list of current IEEE student members.
- Head the membership and recruiting campaign for new students.
- Keep the IEEE McNaughton Center neat and organized.
- Make sure all executives have 24/7 access to the McNaughton Center, including the summer for parts kits assembly.
- Ensure branch membership counts are accurate for the branch by using Section Vitality Dashboard.
- Communicate frequently with local University IEEE Student Branches.
- Assist the Vice-Chair during the parts kits assembly.
The Vice-Chair is responsible for planning, and organizing the parts kits used in the courses of the ECET program. The branch Vice-Chair shall perform all functions of the branch Chair in the latter’s absence or at his/her request. Duties shall include the following:
- Plan and organize parts sales for all courses IEEE assembled kits for.
- Lead the parts kits assembly during the summer break and/or the winter break.
- Conduct an inventory count after each parts assembly.
- Communicate with the faculties of any updates to their parts kits prior making parts order.
- Collaborate and send out parts order to the Associate Dean in January.
- Assist the Chair, or any other executive member, with any affairs when requested.
- If IEEE BCIT no longer does kit assembly, the Vice-Chair is responsible for hosting the IEEE BCIT Industry Night.
The Treasurer is responsible for branch financial policies, procedures, and controls. The branch Treasurer receives and disburses, with the approval of this branch, all branch funds and keeps an accurate account of all transactions. The branch Treasurer shall make financial reports to the branch executive committee monthly and upon request, and shall transmit the accounts and all undistributed funds to the successor in office at the end of the branch Treasurer’s term. Duties shall include the following:
- Keep track of students’ Volunteer Passport hours and points. As mentioned in section 8.4.1.
- Keep an exact account of all receipts and expenditures.
- Maintain the Poynt POS System.
- Send funding applications of events to BCIT Student Association (BCITSA).
- Search and apply for funding opportunities for the Student Branch.
- Manage IEEE Membership rebates.
- Apply for the McNaughton Center Grant.
- Keep track of bank funds (beginning of the academic year and total income received during the year for the Annual Activity Report).
- Collect money when required by the branch.
- Shall be signatory to IEEE’s cheques, vouchers and money orders.
- Obtain cash-box keys from executives and pass on to newly elected executives.
- Assist the Vice-Chair during the parts kits assembly.
The Secretary is responsible for branch records and correspondence. The branch Secretary shall keep a record of all activities of the branch. Duties shall include the following:
- Send out the IEEE BCIT Newsletter to all students notifying of club news.
- Keep and update the IEEE BCIT Google Calendar of all events.
- Prepare monthly reports required by the IEEE Vancouver Section for the Chair.
- Record detailed minutes during each meeting.
- Prepare the IEEE Vancouver Section Annual Report at the last branch meeting of the year. As mentioned in section 9.1.3.
- Maintain an accurate and complete roster of individual members of this branch.
- Inform the IEEE Vancouver Section of the Newly Elected Office.
- Maintain the printed stationery and forms as required by the branch.
- The secretary shall take the roles of the Public Relations position if it is vacant.
- Assist the Chair in ensuring that Branch activities are conducted under the provisions of the current Branch Constitution and bylaws.
- Assist the Vice-Chair during the parts kits assembly.
